To All Supervisors and Postgraduates,
A degree thesis represents the unity of form and content, and standardization of format is a crucial factor in evaluating its quality. The writing of postgraduate degree theses must comply with the UIBE Postgraduate Degree Thesis Writing Standards (2020 Revision), the specific writing standards detailed by the respective schools, and relevant national standards. Reviews and random checks of theses from previous years indicate that a certain proportion of standardization issues exist in UIBE degree theses.
To enhance the standardization of degree theses, the Graduate School will provide a free format standardization checking service for doctoral and master's degree applicants. The relevant details are as follows:
I. Checking Schedule
Doctoral and master's degree applicants must complete the format check after the thesis defense and before submitting the final version of the degree thesis.
II. Checking Standards
The check is based on the following standards and templates:

3. Rules for Drafting Degree Theses (GB/T 7713.1-2006)
4. Chapter Numbering Method for Sci-Tech Documents (CY/T 35-2001)
5. Information and Documentation—Rules for Bibliographic References and Citations to Information Resources (GB/T 7714-2015)
6. Usage of Punctuation Marks (GB/T 15834-2011)
7. Usage of Numerals in Publications (GB/T 15835-2011)
III. System Operation

Student Login: Username is the student ID number. The default password is yjs@[Last 6 digits of ID Number] (the ID number is the one registered in the Graduate Student Integrated Management System).
Instructions: After logging in, click "Submit Thesis" in the upper right corner, select the appropriate template, and upload the degree thesis. The thesis must be in WORD format (.doc or .docx). If the system is busy, queuing may occur; the result can be downloaded from the detection report. Detailed operating instructions are available for download as an attachment.
Note on Template Selection:Graduates must select the correct template: PhD International Government.
IV. Checking Result Inquiry
The first check allows free download of the report, showing the content and location of format errors. Subsequent checks are unlimited but will only display the total number of format errors and whether the thesis passed the check.
V. Assessment and Handling
The format checking system serves as an auxiliary tool. The results should be used as a reference for the formal review of the degree thesis. Students, supervisors, and schools should seriously consider the results to ensure standardization. In principle, degree theses should contain no format errors. Considering potential system margins of error and a permissible tolerance, and referencing the Regulations on the Quality Management of Publications*by the General Administration of Press and Publication, a thesis is considered compliant if the error rate is below 0.03% (i.e., fewer than 3 errors per 10,000 words).
The system may highlight questionable items as 'Reminders'; these do not count as errors unless verified by the student, who should make corrections if the reminder points to a genuine issue.
Theses that fail the format check (based on the final result in the officially provided student account) will undergo key scrutiny by the School Degree Assessment Sub-Committee.
VI. Other Matters
1. For questions regarding the check results, click "Order Consultation" on the "Detection Report" page in the system. Platform customer service will respond individually daily from 08:00 to 23:00.
2. For any issues encountered while using the platform, please contact the official platform customer service first. Escalate to school staff only if the platform cannot resolve the issue.
3. The Graduate School has signed intellectual property and confidentiality agreements with the platform. The platform does not store theses, and detection reports are retained for a maximum of 4 days. Please download them promptly.Students can also manually delete reports from the platform after downloading.
